| MAKING YOUR PRINTER SKIP PARAGRAPHS, OR WORDS, OR?
Want (or need) to highlight and print sections of a document that are not consecutive? Normally if you highlight the first paragraph,
but want to omit the second paragraph and then highlight the third, you'll lose the highlighting on the first paragraph. However you can highlight and print just the ones you want.
It is easy to do in Windows. Highlight the first paragraph. Then, hold down the Ctrl key and highlight the third paragraph. That will leave both paragraphs highlighted. You can use the same procedure to highlight individual words or phrases. When you print, you must tell the printer to grab only the highlighted portions. Do that by Clicking File>>Print. Click Selection. Then click OK. That's it! |
| MOVING FILES BETWEEN DRIVES
If you need to move files between drives and do not want to use copy/paste (so you don't have to go back and delete the original file). There is more than one way to move a file. One way to do this is: Click the file and press Ctrl+X. Then highlight the destination folder on the new drive. Press Ctrl+V. This is the same process as Cut (and Paste), which are under Edit in the Menu. It removes the file from its original location. |
| ARRANGING YOUR FOLDERS IN THE PROPER ORDER
If your files are in reverse alphabetical order and you want them in proper alphabetical order - First, open Windows Explorer (Start>>All Programs>> Accessories>>Windows Explorer). If you're not in Details view, click View>>Details. On the right side of Windows Explorer, click the Name heading. The order will reverse. So you can use A-Z or Z-A. The same type of thing can be done with other headings, such as Size, Type and Date Modified. This same procedure can be used when viewing your E-mail files in many programs by selecting a heading and clicking on it. |
| TO RENAME A FILE - TEXT OR PHOTO
1. Right-click the name of the file that you want to rename. |
| A BACKWARDS "P" AND REVEAL CODES
If you should suddenly (in Word) see something that
contains the "P" Paragraph symbol in all new and existing docs, as
well as dots between letters and filling all spaces, etc. do not panic. The editing marks/Reveal Codes action has been selected.
You have probably inadvertently turned on the editing marks.
These codes are valuable tools when editing newsletters, as it is easier to
remove extra spaces using them. |
| TO CHANGE ORIENTATION OF YOUR PRINTED WORDS.
To change the orientation of your printing job. Let's assume you’d like to make part of it read and print at 90 degrees…like a coupon to cut out. Simply use a text box. Copy what you want oriented a different direction and “Insert” it into a text box. Then you can either: Change orientation from the Text Box callout if it is being shown – or Go to the Draw tool bar and select Orientation Or go to Format and select Text Direction. |
| HEADERS AND FOOTERS REVISITED
Previous tips have explained this process, but it is so handy for many documents I thought I'd bring it up again. 1. Choose View, Header and Footer. 2. Click the Switch between Header/Footer icon to choose either the header or footer for editing. 3. Enter your header or footer text. Any text you type can be formatted using any of Word's text and paragraph formatting commands, including tabs. Word preformats the headers and footers in any document with center and right tabs at the center and far right of the ruler. This allows you to press the Tab key, type some text, and have the text automatically centered at the bottom (or top) of each page. 4. Use the buttons on the Header and Footer toolbar for special items. Hover the mouse pointer over each button to see a brief explanation of its function. 5. Click the Close button when you're done. In Print Layout view, you can see the header or footer displayed in ghostly gray text. In Normal view, you can't see any header or footer, even though it's still there. |
| THINGS TO COME
Your next computer may not have an "A:" drive. CD and DVD drives are becoming very common and relatively inexpensive, as are USB drives that plug into your computer, and hold much more information than a 3.5 floppy disk. Consider moving your data from a floppy disk to a CD or USB drive BEFORE you purchase a new computer without an A: drive! That next computor of yours might well come with networking capabilities. Even your new printer can be networked so that it can sit anywhere in the house and still work with any networked computer you have. If you still are using Windows 98, or an old slow computor, think hard before having anything repaired. You might as well save the money, and apply it to new equipment. If you've not noticed, many new computers are around the $500 range or less, and printers can be purchased for under $100. Some people replace their printer instead of replacing the ink cartridge! |
| CHANGE YOUR PRINTED DOCUMENTS FROM BLACK AND WHITE TO COLOR, OR FROM COLOR TO BLACK AND WHITE.
There are two ways to do this. If you often use color, you could set
up the printer so it prints color by default. Or, if you primarily use
black and white, have it print in color for individual jobs.
To select and change the default. In Windows XP, that is set by clicking
Start>>Printers and Faxes. That will open a list of printers, and
possibly other programs, such as fax software. Right-click the printer and click Printing Preferences. In the Printing Preferences window, select the Paper/Quality tab. Change the color setting from Black & White to Color. Click Apply>>OK. That changes the default to color printing. Now, each time you print a document that contains color, it will print in color. You may not want to do that. Color ink is expensive. If the default is set to Black & White, you won't make that mistake. Here is the other way to get color. Leave the default as Black & White. When you have a page you want to print in color, click File>>Print. On the Print window, click preferences. That takes you to the same Printing Preferences window. select the Paper/Quality tab. Click Color. Click OK and Print. Color printing, will only be used for that job. The default will remain Black & White. In Windows 2000, click Start>>Settings>>Printers. Right-click the printer and click Printing Preferences. In Windows 98 and ME, start with Start>>Settings>>Printers. Right-click the printer and click Properties. |
